Board Meeting
January 11, 2009
Present: Dave Milne, Alice Riley, Karen Klumpp, Allison Guth, Kelly Ruotolo, Jim White, Kevin Driscoll, Paul Frascione.
· Car Raffle –$33,240 was made in the raffle. The amount of $18,000 was paid to the winner of the drawing and $1000 was paid to the travel team that sold the most tickets. The pizza party at Pump It Up has not yet been held. The profit prior to the party is $14,240. Jim White will be writing up “lessons learned” from our first raffle. He will also look into what someone called the “lottery law” to ensure we do not violate any such law.
· There is currently enough money in the field fund to cover the next 3 months. This amount is on track with what was expected.
· Kelly is working with the accountant on the 1099s. She is hoping to meet with the accountant this week.
· Registration has started. After 2 days, there were 213 registrants, with approximately $18,000 collected.
· The Spring season will consist of an 8 week session. The first Saturday rained out will not be made up. The second Saturday rained out will be made up on Friday evenings.
· First match: 4/18/09; last date of play: 6/13/09; picture day will be 5/30/09; no games over Memorial Day Weekend.
· Dave will talk to Demosphere about updating the photos that are displayed on the website.
· KidSafe is being done on-line this season.
· Dave is meeting with the Park Authority on Monday morning, to discuss general grounds issues.
· The club is in need of another storage unit. Alice will ask some of her contacts to see if anyone can provide us a unit.
· Jim brought up the issue about the funding the Park Authority has for the lights at Long Park. The concern of the board is that the funding may be used for other needs in this time of tightening budgets.
· Karen will send an email to the travel teams to remind them not to practice on the turf fields when there is snow or ice. She will also ask that they be sure and place the weights for the portable goals on the back bar, and make sure that it is NOT on top of the net when doing so.
· Kevin requested that Karen update her travel referee list and to include all refs involved in travel, not just adults. This is essential in assisting him when there are rainouts, etc that need referees rescheduled.
· A request for bids for Goalie Training for the Travel teams was presented by Karen. The Board did not have any issues with it, and it will be sent out to all the teams, asking that they pass it on to their trainers and any others that they believe may be interested in providing this training.
· Ewing Sports was concerned that an invoice had not been paid for Nike promo t-shirts. However, this had been paid by Jim White personally back in March 2008. He will contact Ewing and resolve this issue.
· There was a request by the U14G Blue team to obtain some Saturdays for home games. The team is playing Region 1 Premier League this spring, and if we don’t provide fields, all of their games will be played in PA, NY or NJ. The season starts early for this league, so the Board agreed to allow the Region 1 League use of a turf field on 3/7/09, 3/14/09, and/or 4/4/09. Karen forwarded the decision to John Wagoner, team manager for the team, and asked that he take no more than 2 of those dates.
· Velocity Sports in Ashburn submitted a proposal to be a sponsor for VSA. John Wagoner has been instrumental in working with this company. Jim White will contact John to follow-up on the proposal.
· Discussion took place about being a host for the region 3v3 tournament, which would be held in late July, early August. Jim stated that if we are going to do this, we must apply immediately. There would be an outlay of funds in the first year, as the club would need to purchase approximately 32 sets of small goals.
